Office buildings in several metros, one cleaning contract

Facility management companies that run office portfolios rarely stop at one city. A regional firm might hold a tech campus in San Jose, a law office floor in Oakland and an administrative building in Sacramento; a national one might add a suite in Las Vegas. Loop Office Cleaning is built around offices, and you can contract with us directly to cover those addresses as a single vendor rather than hunting for a new cleaner in every market.

Our work centers on the places people do office work: multi-tenant and high-rise buildings, Class A floors, coworking and flexible offices, professional suites, corporate campuses and business parks, medical offices, and the front offices inside plants and warehouses. Each address gets a visit plan built around its own floors, hours and traffic.

Office buildings in these markets share a pattern: heavy daytime use of restrooms, kitchens and conference rooms, evenings with a few late workers, and tenants who notice when trash is missed or a breakroom sink is left full. Our nightly lists are written with that pattern in mind, and a porter can cover the daytime gaps.

One account manager from San Francisco to Las Vegas

Every building you assign to us, whether it sits in South San Francisco, Fremont, Stockton or Las Vegas, rolls up to one named account manager. That person knows each site’s schedule and history, so your team has a single person to call about all of them.

If you call and the account manager is tied up on another site or away, the operations manager picks up the escalation instead. We can also take on a batch of offices at once, across different cities, and run them on one coordinated schedule instead of starting them one by one.

Before the first shift: certificates and crew screening

Your vendor file usually needs insurance first. Loop Office Cleaning carries general liability limits of one million dollars each occurrence and two million dollars in the aggregate, holds umbrella coverage, and insures its crews under workers’ compensation. Certificates go out within one business day, and we will add both your firm and its client, the party that owns or leases the office, as additional insured whenever you ask.

Each person assigned to one of your offices has cleared a background check before setting foot on the site. Crews wear uniforms. Office towers and secure suites frequently set their own entry rules, from added screening to a security-desk badge or an escort onto a restricted floor, and our crews work within those rules at that address.

Ticket handling inside your system

There is no separate portal for your team to learn. We take dispatches, post updates and close tickets in the work-order system your company specifies, so office cleaning records sit beside the rest of each building’s maintenance history.

The not-to-exceed amount written on a ticket is treated as the spending ceiling for that job. Should a carpet spot turn into a whole-room extraction, for example, we come back to you for approval before the cost climbs past the ceiling. Urgent tickets receive a reply on the day they come in, and an urgent call placed on a weeknight or a weekend is still picked up.

Evidence for every visit, and invoices that match

Arrival and departure are recorded for each visit to each office. When a crew finishes an urgent dispatch or a single-visit project, the ticket gets photos of the cleaned area or a completion note from us, so it closes with proof attached.

Supervisors carry out quality inspections and score each building, and those reports come to you. On the billing side, you can have invoices issued per site or per ticket; every one lists the office location and your work order number.

Office services you can dispatch to us

Nightly office cleaning covers desks, meeting rooms, reception and staff rooms, and broader janitorial services add restrooms, shared floors and floor care. A day porter keeps lobbies, common areas and restroom supplies in order while the building is occupied.

Project tickets fit too. Send us commercial carpet cleaning for a stained open-plan floor, a periodic restroom deep clean, disinfecting after an illness in the office, or post-construction cleaning after an office build-out or renovation.

From walkthrough to first night

Once you send an address, a walkthrough follows within two business days, and recurring cleaning starts within a week. Bringing on offices in more than one city at the same time? List them together, and we plan the walkthroughs as one round so every building starts close to the same date. Vendor packets are requested through our contact page and emailed to you by our operations team.
