Cleaning task list builder for offices and other workplaces

Pick your type of workplace and how busy it runs, and this cleaning task list builder lays out every routine job room by room, each with a starting frequency. Trim it, print it or save a PDF, then bring it to a free walkthrough with Loop.

Start your workplace cleaning list from two answers

Tell the builder what kind of building you run, from a general office or a government floor to a medical suite, a dental practice, a bank branch or a lab, then say whether its rooms see light, typical or heavy use. Back comes a list of default jobs grouped by area, from reception and workstations to restrooms and the breakroom, each with a starting frequency. Clear the tick beside anything you don’t need, then print the result, keep a PDF copy or send a short summary with your quote request on this page.

Why every bidder should price the same written list

When three cleaning companies walk an office without a shared list, each one prices a slightly different job. One treats the kitchenette as a nightly stop, another as a weekly one, and a third never mentions the glass at reception. The totals look comparable and aren’t. Handing every bidder the same task list lines the quotes up, so the gap you see between them comes from labor and approach rather than from what each company assumed you wanted.

A written list also pays off once cleaning starts. Crews clean what is on paper, supervisors run their quality inspections against it, and a missed job becomes a clear line to put right instead of a debate about expectations. When the quotes arrive, our cleaning bid comparison checklist helps you read them side by side.

Fitting the defaults to the way your office works

Treat the defaults as a first draft. Pick the building type that matches most of your floor, then go through the list area by area:

  • Remove what your own people already cover. If the office manager wipes the boardroom table after each meeting or a building engineer looks after the lobby glass, untick those lines so nobody pays for the same work twice.
  • Set the traffic level by your busiest rooms. A suite that fills from Tuesday to Thursday still runs its restrooms and kitchen hard on those days, even if desks sit empty on Mondays.
  • Write in the rooms a default can’t know about. A server closet, a wellness or lactation room, a print corner with toner dust or a shower for cyclists deserves its own line on the printout.
  • Flag the spaces guests judge. Reception, the client restroom and the main conference room shape a visitor’s first impression, so mark any extra care you expect there.

A building with more than one use, such as offices above a small lab or a showroom with sales desks behind it, can run the builder once for each part. Keep the printouts together and the walkthrough joins them into one plan.

What a walkthrough measures that a list can’t

A task list says what gets done and how often. It leaves out the facts that decide how long the work takes, and those come from walking the floor with you:

  • Square footage, and how it splits between carpet, tile, sealed concrete and stone
  • The number of restrooms and fixtures on each floor
  • How the crew gets in after hours: badge readers, alarm codes, key boxes and freight elevators
  • Building rules on noise, waste rooms, loading docks and tenant spaces
  • Whether Loop supplies paper and soap or refills from stock you keep

For a deeper written document, our guide to putting office cleaning needs in writing covers task wording a crew can’t misread, a separate section for periodic jobs and how to keep the document current as your team grows or moves floors.

Two companion planners for the same office

The same choices feed two more tools. The commercial cleaning frequency planner regroups these tasks by how often they happen, which helps when you are deciding how many nights a week to book. The restroom supply estimator turns your headcount and visitors into a monthly range of tissue, towels, soap and liners.

Periodic lines on the list, such as carpet extraction or high dusting, are booked through commercial carpet cleaning and the rest of our office cleaning and janitorial services, so the whole list can sit with one crew and one schedule.

From a printed list to a written quote

Your list is a planning starting point rather than the finished plan. Press the button under the result to send it with the quote request on this same page, and Loop books a free walkthrough of your office. We check each line against the rooms themselves, add the measurements and access details, and return a written quote and a cleaning plan built from your list.

Crews then work evenings or weekends around your team, and the list stays the reference supervisors check against. Request a walkthrough whenever your list is ready, or even half finished.

A few useful answers

Common questions.

Which workplace types can I start from?

Office types come first: general and government offices, medical clinics, dental practices, bank branches and labs. The builder also has defaults for schools, retail, gyms, dealerships, restaurants, warehouses and several other buildings, which helps when an office shares a property with another use.

What changes when I switch from typical to heavy use?

Jobs in the busiest rooms move up a step, for example from a few times a week to every service day, or to twice a day in restrooms and breakrooms. Light use moves secondary lines down a step, while core restroom cleaning holds on every service day.

Can I hand the printout to other cleaning companies?

Yes, that is what it is for. Giving each bidder the same list keeps the quotes comparable, and Loop will quote against it the same way.

We share a building with other tenants. Do the lobby and elevators belong on our list?

Only when your lease puts them in your hands. If the landlord’s crew covers the lobby, elevators and core restrooms, untick those lines and keep the list to your own suite.

What does Loop do with the summary I send?

It arrives with your quote request, so the walkthrough starts from your list instead of a blank page. We confirm each line in person and return a written quote built on it.
